Title: Part Time Assistant PA
Reports to: Senior PA
Works for: The primary function of the role is to work with the senior PA in providing administrative support to the Executive Team, Heads of Departments and RSMs
Based at: Brookhouse Mill
Hours per week: Part time 2/3 days per week
Key Responsibilities:
• Assist with diary management & the arrangements for various meetings.
• Liaise with visitors, clients, suppliers, and other staff.
• Assist and help manage events, meetings and conferences including catering as required (e.g. Harrogate, management and sales conferences, celebrations)
• Arrange travel, visas, and accommodation for business trips.
• Screen phone calls, enquiries and requests and handle them when appropriate or take messages and ensure they are distributed.
• Deal with incoming post, email, and correspondence on behalf of the directors as required.
• Assist and produce documents, briefing papers, reports, and presentations.
• Maintain (easy to use and access) filing systems whether electronic or paper based.
• Maintain a room booking system for the conference room and meeting rooms.
• Secretarial support for SLT, Heads of Departments & RSMs
• Assist with arranging gift/presents for staff & customers (e.g. hampers, Christmas cards, retirement and 25-year service events)
• Assist with admin tasks, (photocopying, arranging couriers, franking post, organise refreshments and lunches, appointments, contribute to newsletters).
• Assist with the maintenance and upkeep of the office environments at Brookhouse Mill and Holme Mill to include, the cleaning contracts, grounds / garden maintenance, the ordering and distribution of all stationary ancillary facilities services such as: - window cleaning, air conditioning, office furniture, milk ordering and vending services.

Skills / Qualifications:
• Excellent all round secretarial and communication skills, verbal and written.
• Discretion and confidentiality.
• Proficiency in Microsoft Office - Outlook, Word, Excel, PowerPoint, OneDrive.
• Excellent organisational skills.
• Must be well presented and have a clear, welcoming, and confident telephone manner.
• Be able to deal effectively and calmly with issues that may arise.
• The ability to work unsupervised.
• Ability to prioritise and respond well under pressure.
• Strong administrative abilities and time management skills.
• Proactive nature.
• Efficient and courteous at all times
• Flexibility to assist with other duties as required.
