Title: HR Assistant

Reports to: HR Manager

Based at: Brookhouse Mill (flex between BHM and HM)

Hours per week: 35 hours per week

Job Purpose: Support the HR Manager in the daily administration of the HR departments activities and assist in the smooth running of the department liaising with all levels within the business.

 

Key Responsibilities:

  • Assist with the recruitment process including supporting managers in establishing selection criteria, writing job descriptions, interviewing, drafting new starter offer packs
  • Maintain employee records via the HR & time and attendance system and electronic filing system
  • Liaise with Payroll on pay and sickness queries
  • Process leavers, carry out exit interviews and reply to reference requests
  • Assist with coordinating HR events, meetings and employee communications
  • Advise managers and employees on terms and conditions of employment and benefits
  • Assist with the review HR policies and procedures to ensure they are up to date and comply with current legislation
  • Participate in meetings and ensure notes are taken accurately
  • Participate in projects as required
  • Assist department managers to arrange appropriate training
  • Carry out remedial actions in conjunction with line managers following identification of issues
  • Maintain relevant statistical information and provide management information on a regular basis, including a monthly report to the senior team in line with the agreed format
  • Co-ordinate benefit joiner process
  • Ensure cultural surveys, team briefs, one to ones etc are completed as agreed
  • Assist with arranging routine welfare screening each month and appointments as required
  • General HR administration
  • Maintain technical and legal knowledge and keep abreast of employment law and best practice within the HR profession
  • Build and maintain good relationships with colleagues and external contacts

Skills / Qualifications:

  • CIPD level 3
  • Basic knowledge of employment law
  • Previous HR experience
  • A quick learner who is competent to work on own initiative
  • Excellent organisational skills and ability to work to deadlines
  • Excellent attention to detail
  • Ability to maintain confidentiality and act with discretion and diplomacy
  • Must be honest, trustworthy, self-motivated and enthusiastic
  • Good at building relationships, working collaboratively, establishing trust and credibility
  • Good coaching skills
  • Excellent verbal and written communication skills and the ability to communicate at all levels and adapt communication style when required
  • Sound analytical and judgement skills, able to justify actions
  • Ability to understand and analyse information and present it simply and accurately
  • Proficient in the use of MS Office and experience of using a HR / Time and attendance system
